Manage clients without drowning in WhatsApp

Scattered feedback, lost files, "so, how's it going?": how to organize communication with your clients to save time and keep them reassured.

Manage clients without drowning in WhatsApp

WhatsApp is perfect for saying hello. Much less so for approving a mockup, finding a logo sent three weeks ago or knowing which version is the right one. Here's how to take back control without upsetting your clients.

The problem: everything in one place, so nowhere

In a WhatsApp chat, personal messages, project feedback, files and payments all get mixed up. The result:

  • low-resolution files, lost in the thread;
  • vague approvals ("ok" to which message?);
  • a client who doesn't know where their project stands, and keeps asking.

One place per topic

Keep WhatsApp for the human connection, and give each topic its own place:

TopicWhere
Project progressThe collab's steps, visible to the client
Feedback on a deliverableThe comments on the relevant step
Client filesThe file upload area in their portal
Documents and paymentsThe quotes, contracts and invoices in their portal
Quick little questionThe collab's messaging, or WhatsApp

Set the rule from the start

The best moment is the kickoff. One sentence is enough:

"So that nothing gets lost, all the follow-up on your project happens in your portal: you'll see the steps, the files and the documents there. I'll let you know every time there's something new."

Send the portal link by WhatsApp: your client clicks, enters their email and the code they receive, and they're in. No account to create.

Update them before they ask

"How's it going?" almost always comes from silence. Approve each finished step and upload deliverables as you go: your client gets a notification, sees the progress percentage, and no longer needs to ask.

With Coolcolab

Every collab has its client portal: steps, comments, file uploads, messages, documents to sign and invoices to pay. You get a notification every time the client does something.
